Summer 2008 - FWSP Procedures for Student Employees
This information pertains to students on all three campuses. You may use the services of any of the Financial Aid Offices, as well as the Student Employment Office in New Brunswick. Students who are registered at Newark and Camden campuses during the academic year should also check with campus offices for any additional information on the summer program at those campuses.
The Federal Work Study Program is governed by federal regulations. In order to determine eligibility, we must use FAFSA information from the correct year. The year that we are required to use is based on whether or not you are enrolled in any summer classes at the University. Please read the following information carefully.
Students who are taking summer classes at RU - You will be eligible if you have remaining need based on information from the 2007-08 academic year FAFSA. Since you are taking summer classes, your 2007-08 budget will be adjusted to consider the cost of your summer classes. You must have a 2007-08 FAFSA on file.
Students who are NOT taking summer classes at RU - You will be eligible if you have sufficient need based on information from the upcoming 2008-09 academic year’s FAFSA.
Students who are taking summer classes at RU - The money you earn during the summer will not affect your academic year FWSP for 2008-09. If you are offered FWSP for academic year 2008-09, that offer will be separate from the summer funds.
Students who are not taking summer classes at RU - The money you earn during the summer will be subtracted from the amount offered in academic year 2008-09. If we have funds available and you have remaining need, we may be able to award additional funds but we cannot guarantee that. If you want to make sure that you have funding for the academic year, it is your responsibility to plan your work schedule carefully and monitor your gross earnings.
The Summer FWSP starts on June 2, 2008. We will begin to notify students of eligibility to participate on May 23.
Students who are taking summer classes at RU - Because you are using 2007-08 eligibility to work during the summer, you will need to stop working on summer funds on August 22 (or when you have earned your award, whichever comes first). You may be eligible for 2008-09 academic year funds and, if you are, you may begin working again when the new academic year starts. You will receive more information about this when you receive your summer assignment.
Students who are not taking summer classes at RU - If you have additional funds at the end of the summer and you wish to continue working in the same department for the academic year, discuss this with your supervisor. If this is agreeable to all parties, you may continue working and will not require any additional authorization.
Application and Eligibility Information
You may obtain a Summer FWSP application from our web site at http://studentwork.rutgers.edu or by visiting any of the Financial Aid Office's or the Student Employment in New Brunswick. You must bring or mail the form to the Student Employment Office or Financial Aid Office.

Assignments will be done on a first-come/first-eligible/first-served basis. We will continue to make assignments as long as funding allows. We reserve the right to discontinue placements due to funding restrictions.
Respond to any inquiries from the Financial Aid Office. These may include requests for additional information or documents. We may not be able to determine your eligibility until the Financial Aid Office has received your response.
When you are assigned to a job, you will receive a form called the Employment Authorization Form, or EAF. You cannot begin work without an EAF, even if you are returning to the same department.
Working Off-Campus (Paid Community Service Employment)
We have many paid community service positions available. A list of non-profit agencies is available on our web site. Community service jobs include work in places such as hospitals, parks, libraries, day care centers, and social service agencies.
You can work in your own hometown, even out of state, if the agency meets the community service criteria. If you are interested in learning more about this program, contact the Student Employment Office in New Brunswick or the Financial Aid Offices in Newark or Camden.
Some community service employees will qualify to be paid for travel time. For more details, inquire in our offices.
Off-campus community service jobs require a contract, which is initiated from our offices. Our ability to place students in any agency is dependent upon the agency's eligibility to enter into a contract with the university.
Jobs on the Rutgers Newark/Rutgers Camden Campuses (For NB Students)
If you are registered in New Brunswick during the academic year but you want to work on the Newark or Camden campus during the summer, we will forward your application to that campus once your eligibility is determined.
If there are no jobs available at the time your application is forwarded, you may want to consider an off-campus community service job in those communities. See previous section.
Students who cannot get placements in Newark or Camden can still choose jobs in New Brunswick.
Notification of the Status of Your Application
Notification of eligibility will begin on May 23. We will notify you at the address you listed as your summer address on the application.
You are welcome to stop in to the office or to call us between the hours of 8:30 and 5:00, Monday through Friday, to check on the status of your application.
If we notify you that you are eligible and you decide not to work on the program, please let us know.
Miscellaneous Information
If you have worked at the university in the last six months, you do not need to complete payroll paperwork again.
If you have not worked at the university in the last six months, you will need to complete payroll paperwork. You will need your social security card. If you do not have it, please contact us and we will give you information about applying for a duplicate form. If you need to complete payroll paperwork, you cannot work until it is complete. You cannot be paid.
If you are not taking summer classes, you earn all of your funds during the summer, and you are not eligible for additional funds, you must still accept the FWSP offer that will appear on your academic year award letter for 2008-09. Since summer awards for students in this category are determined based on academic year costs, you must accept the offer even if all funds have been earned.
