WEB ASSIGNMENT PAGE AND EAF INFORMATION

General Information

As students begin being placed in FWSP jobs, you will have access to a web-based Assignment Page for your department. This means that when you log onto the SEO database, you will see all students who are currently assigned to your department.  Additionally, you will have access to EAF information within approximately 24 hours of the assignment of a student employee to your department.

Departments and students will receive assignment information at approximately the same time.  New students will be encouraged to make contact with the department within two weeks of assignment.  Renewal students may contact you earlier.  You may contact any student who appears on your departmental Assignment Page.  If your department is scheduling an orientation or training session, or if you want to discuss details about the job with the student employee, you may do so once that student appears on your Assignment Page.

Employment Authorization Forms (EAFs)

Note that paper EAFs will not be mailed to your department.  To view the new electronic EAFs in the SEO database, select “Assignment Page” from the menu, then select a student’s name.  The information will be similar to that of the paper EAFs, but will be in a slightly different format. There will be no need to sign and return paper EAF copies.

Award Amount Column

Unfortunately, you will not be able to see cumulative earnings on the primary assignment page.  We will continue to mail paper earnings reports to you on a monthly basis to keep you informed of student cumulative earnings.  The award amount will change only when a student has a change to his or her FWSP award or financial aid status, or if he or she is granted an appeal for increase.  In the event of any change, this column will be updated by Student Employment Office staff only.  The person listed as the department contact on the EAF will receive an automatically-generated email when there are changes in award amounts.

Pay Rate Column

The pay rate will change only if students are promoted or if students were initially given wrong pay rate.  This column will be updated by Student Employment Office staff only. The person listed as the department contact on the EAF will receive an automatically-generated email when there are changes in pay rate.

Type Column

There are two types of EAFs generated for participating FWSP students:  Renewal and Manual.  Renewal students are not required to complete online job applications because the have elected to be automatically placed back with their previous departmental employers.  Manual students are required to complete online job applications, and are manually placed in departments by Student Employment Office staff based on the information on their online job applications.

Comments Column

There will be electronic updates to the information on the Assignment Page throughout the year.  If a student’s FWSP award has been cancelled, or if a student has declined a FWSP job, the “Comments” section of the assignment page will show the current status.  The person listed as the department contact on the EAF will receive an automatically-generated email when the “Comments” status is changed by Student Employment Office staff.

The “Comments” column comments are:
